Publicizing your event in a way that makes it readily accessible to all members of your organization and/ or community is the key to ensuring wide participation and making the event a success. Your publicity materials should answer the following questions:

  • What topic will be addressed, why is it being held and who is sponsoring it?
  • When and where will it take place?
  • Who will be speaking at or facilitating the event?
  • Who is participating and what will they do?
  • Why is the activity important to your department/organization/community?
  • What action is expected to come from this event?
  • Who should be contacted for more information?


Forms of Publicity

Be creative with your advertising. Publicity can take many forms including, but not limited to, the following ideas:

  • An announcement on your website
  • Tent cards with the event, date, time and location placed on cafeteria tables
  • Emails announcing the event sent to staff or members
  • Announcements on your organization's voicemail
  • Announcements at the end of each staff member's email signature
  • A press release sent to local newspapers, radio and television stations.
  • Posters within your organization and around your community. Locations might include universities, junior high and high schools, community centres, workplaces, religious worship venues, long-term care facilities, and health care service clinics.
